Privacy Policy

This Privacy Policy explains how Samurvi LLC(“Samurvi,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use the Samurvi business dashboard, including when you connect Samurvi to your QuickBooks Online account (the “Service”). By using the Service, you agree to the practices described in this policy.

1. Information We Collect

We collect the following categories of information:

  • Account information: name, email address, password (stored as a salted hash, never in plain text), role, and business/school name provided when you register or are invited to an account.
  • QuickBooks Online data: when you connect your QuickBooks Online account, we access financial data you authorize, such as your chart of accounts, transactions, account balances, and related metadata, so we can display it inside Samurvi.
  • Business operations data: information you or your staff enter directly into Samurvi, such as student, membership, attendance, instructor, and lead records.
  • Usage and device data: log data, IP address, browser type, pages visited, and timestamps, collected automatically when you use the Service.
  • Cookies and similar technologies: see Section 6 below.

2. OAuth and the QuickBooks Online Integration

Samurvi connects to QuickBooks Online using Intuit's OAuth 2.0 authorization protocol. When you choose to connect your account, you are redirected to Intuit to sign in and approve the specific data scopes Samurvi requests. Samurvi never sees or stores your QuickBooks Online username or password — authentication is handled entirely by Intuit, which issues Samurvi a limited, revocable access token.

We use that token only to read the financial data necessary to power Samurvi's reporting features (for example, transactions, account balances, and the chart of accounts). You can disconnect Samurvi from your QuickBooks Online account at any time, either from within Samurvi's settings or from your Intuit account's connected-apps management page. Disconnecting revokes our access token and stops all future data syncing.

3. How We Use Information

We use the information described above to:

  • Provide, operate, and maintain the Service, including dashboards, health scores, and forecasts.
  • Compute analytics such as cash-flow trends, retention rates, and at-risk student scoring.
  • Authenticate users and secure accounts.
  • Respond to support requests and communicate service-related updates.
  • Diagnose technical issues and improve the reliability and functionality of the Service.

We do not sell your personal information or your QuickBooks Online data to third parties.

4. Data Retention

We retain account and synced QuickBooks Online data for as long as your account remains active. If you close your account or disconnect QuickBooks Online, we delete or anonymize the associated financial data within 30 days, except where we are required to retain limited records for legal, security, audit, or fraud-prevention purposes. Log data is retained for a limited period for security and diagnostic purposes and then deleted or aggregated.

5. Data Security

We apply industry-standard safeguards to protect your information, including:

  • Encryption of data in transit using HTTPS/TLS.
  • Encryption of sensitive data at rest.
  • Password hashing using industry-standard algorithms — we never store plain-text passwords.
  • Role-based access controls limiting who can view or manage data within an account (owner, admin, instructor, viewer).
  • Restricted internal access to production systems and secrets, granted on a least-privilege basis.

No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. See our Security page for more detail on our practices.

6. Cookies and Analytics

We use strictly necessary cookies to keep you signed in and to protect your session (for example, authentication tokens stored in HTTP-only cookies). We may also use privacy-respecting analytics tools to understand aggregate usage of the Service and improve it. We do not use cookies for third-party advertising, and we do not sell data collected through cookies. You can control cookies through your browser settings, though disabling essential cookies may prevent you from signing in.

7. Third-Party Service Providers

We share information only with service providers who help us operate the Service, including:

  • Intuit / QuickBooks Online — the source of financial data you explicitly authorize us to access via OAuth.
  • Cloud hosting and infrastructure providers — used to run and store the Service and its data securely.

These providers are only permitted to use your information as necessary to provide services to us, and are bound by confidentiality and data-protection obligations. We do not permit them to use your data for their own independent purposes.

8. Your Rights and Choices

Depending on your location, you may have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information or account.
  • Request a copy of your data in a portable format.
  • Disconnect your QuickBooks Online integration at any time.
  • Opt out of non-essential communications.

9. Children's Privacy

Samurvi is a business tool intended for use by school owners, administrators, and staff. It is not directed to children, and we do not knowingly collect personal information directly from children through the Service.

10. International Users

Samurvi is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify account holders directly.
